E-invoicing and PEPPOL: what does it mean for your business?

More and more countries are switching from paper or PDF invoices to structured e-invoices. Belgium is following the same path.

The goal is simple: fewer errors, faster processing and better control of VAT flows.

What exactly is an e-invoice?

An e-invoice is not just a PDF sent by email. It is a structured file that accounting software can read and book automatically.

This reduces manual typing and the risk of mistakes.

What is PEPPOL?

PEPPOL is a secure international network through which companies and governments exchange e-invoices.

Your software connects to the network, ensuring invoices reach the right recipient safely.

Is e-invoicing mandatory?

For invoices to Belgian public authorities it is already mandatory in most cases. For B2B transactions, Belgium is gradually introducing a broader obligation.

This means that in the coming years, more and more companies will have to switch.

Advantages for entrepreneurs

  • less administrative work
  • faster payment processing
  • fewer lost invoices
  • automatic booking into accounting systems

What do you need to do?

Check whether your accounting or invoicing software supports PEPPOL and structured invoices.

If not, it may be time to plan an upgrade.

My advice

Treat e-invoicing as an opportunity to modernise your administration rather than as a burden.

During a consultation, we can review together:

  • whether your current software is ready
  • how to switch step by step
  • how to integrate e-invoices with your accountant
  • what subsidies or support may exist
