In this article we look at what you should pay attention to when choosing software and how to avoid ending up with a package that cannot grow with you.
Why digital accounting?
A digital way of working not only saves time, it also gives you better control over your numbers.
- fast processing of invoices and receipts
- fewer errors thanks to automatic bank imports
- constant insight into your VAT position and unpaid customers
- simple collaboration with your accountant
The ideal solution depends on the size of your business and the complexity of your activities. A starter has different needs than a growing company with several projects or employees.
Cloud software or local installation?
Most modern solutions run in the cloud: you log in through your browser and your data is stored securely on external servers. This is convenient if you travel frequently or work with several people on the same file.
Locally installed software is becoming rare and usually offers less flexibility. It still makes sense only in very specific situations.
Which features really matter?
The list of available functions can be overwhelming. Focus on what truly helps your daily work.
- easy creation and sending of invoices
- automatic matching with bank transactions
- clear dashboards and profit summaries
- integration with your webshop or CRM
- secure document storage
If you plan to grow, check whether the software allows extra users, additional modules or integrations later on.
Do you really need to do everything yourself?
Many entrepreneurs want full control and start booking everything themselves. That is possible, but not always the most efficient approach.
A good balance is often: you manage invoices and documents digitally, while your accountant checks, finalises and submits declarations.
My advice
Choose software that feels intuitive after a short trial. If you need a manual for every step, it is probably not the right package.
During a consultation, we review together:
- how your administration looks today
- which tasks you want to automate
- whether your current tool can still grow with you
- which alternatives might save you time and money
